Carnarvon Ball Club : Terms & Conditions

CARNARVON WAIVER: I give consent for my child to participate in baseball/softball/basketball organized by Carnarvon Ball Club for the 2018/19 seasons. I am aware that personal injuries and damages to or losses of possessions may occur while participating in these activities. I will not hold the Association, its Executive or any of its members, umpires, referees, or volunteers responsible for any injuries, damages or losses incurred by my child while participating in the Association's activities or when traveling to and from the activities. Specifically I hereby waive, release, absolve, and indemnify the Association Executive, organizers, sponsors, supervisors, coaches, participants, and persons transporting my child to or from the activities, for any claim arising out of an injury to my child. I give permission for my child's name, address, phone number and birth date to be included in player lists (for registration purposes only) to be made available (where applicable) to B.C. Minor Baseball, Baseball B.C., Softball B.C and Victoria and Victoria & District Amateur Basketball Association.

CARNARVON VOLUNTEER POLICY: The Carnarvon Ball Club is run solely by volunteers. We want youth in our programs to develop their ball skills but most of all to have fun, be active, and make friends. Carnarvon is a large, vibrant, and highly successful ball club. But we need YOU to continue to make that happen. All you need to volunteer is a drive to help kids have fun and become better ball players. We need people with all kinds of skills sets and interests. Our volunteers play a critical role in keeping the Club running. When we do not have enough volunteers, our programs suffer and our families experiences do too.  Unfortunately, the number of parents who volunteer with Carnarvon Ball Club has declined dramatically over the past few years. Recent requests for more volunteers have fallen short and more help is needed in order to have a 2018 season. Therefore, starting in 2018, each Carnarvon Ball Club family will be required to either fulfill a volunteer duty or pay a "Volunteer Fee Duty Opt-Out Fee" of $200.

What types of Volunteer Duties are there? There are many volunteer duties to consider - such as coaching, spring field prep, helping with opening or closing ceremonies, Board positions, Divisional Coordinator positions, Registrar positions, Equipment Managers, Uniform Coordinators, Umpire Coordinators, Field Maintenance, Committee Membership, Fundraising and more. Parents will be able to sign-up/register for their Volunteer Commitments starting in February. These volunteer positions will be filled on a first-come, first-serve basis.

What is the Volunteer Commitment Deposit? Registration for players who choose to provide Volunteer Commitment is not considered complete until a Volunteer Commitment Deposit of $200 is received. The deposit must be in the form of a post-dated cheque dated July 1. 2018 payable to "Carnarvon Ball Club". Please include "baseball", "softball" or "both in the note. Only one Volunteer Commitment Deposit cheque is required per family. If your Volunteer Commitment is completed before the end of the season, your deposit cheque will be destroyed.  

How do I provide my Volunteer Commitment Deposit cheque?

For Mini Baseball (Blastball & T-Ball) - Bring your cheque to the first practice (exact date TBA).

For Junior Baseball (Tadpole & Mosquito) - Bring your cheque to the assessment (exact date TBA).

For Senior Baseball (PeeWee & Above) - Mail your cheque to "Carnarvon Ball Club" P.O. Box 5483 STN B Victoria, BC V8R 6S4

For Softball - Mail (or drop-off) your cheque to Carnarvon Ball Club, c/o Lisa Rogers, 2880 Dean Ave. Victoria, BC, V8R4Y2

Note: If you have a child in the Softball program and another child in the Baseball program, please follow the instructions above for the program that the OLDEST child is registered in.

What if I am unable to Volunteer? Carnarvon Ball Club does understand that there are certain circumstances that lead to families not being able to fulfill their volunteer commitments. If you know that you will not be able to fulfill a volunteer position for the season you will have the option to pay $200 WHEN YOU REGISTER and "Opt-Out" of your volunteer requirements. Only one "Volunteer Duty Opt-Out Fee" is required per family. There are no exemptions from performing volunteer duty for any parents, other than the Opt-Out process above.

What happens if I don't pay the Opt-Out Fee or provide the Volunteer Commitment Deposit? Players will not be given a uniform until the Opt-Out Fee is paid online or the Volunteer Commitment Deposit cheque is received.

Do I still have to score-keep and prep the field for home games? Yes! Whether you choose to Volunteer or to Opt-Out, each family is still responsible for their share of individual Team Duties, including home game field preparation and scorekeeping. Club Volunteer Commitments and Team Duties are separate.

CARNARVON BALL CLUB REFUND POLICY: If a refund is requested before April 15th, Carnarvon will refund the full amount - minus a $25 administration fee. No refunds will be considered after April 15th without a letter from a medical doctor. Refund requests can be emailed to: carnarvonballclub@gmail.com
